What a supervised task records
Turn on sign-off in a workbook and a completed task waits for someone else to approve it. The person doing the work writes a completion note and can attach photos; the approver signs off or sends it back, and every send-back is counted. Supervised mode goes one step further: the assignee can move the task, tick its checklist and write the note, but cannot change what the task says. The task is the instruction; the note and the photos are the evidence.
- Who created the task, who was assigned, who finished it and when, who signed it off and when.
- Every status change with its completion note, every reassignment, every edit of the instruction.
- Comments with the author and time; photo and file attachments with the uploader.
- How many times a task was sent back, and the first-pass rate per person on the workbook overview.
The trail is written by the server
The activity trail under each task is not something the app writes on the person's behalf. The database records the change, and a server function derives the entry from the change itself, stamped with the server's clock. Members can add comments; nobody, including admins and the owner, can add, edit or delete an entry. A record that says the work was done at 14:07 by Dan means that the database saw Dan's device do it at 14:07.
Export it, per task or per period
Anyone who can see a task can export its trail. Admins can export every recorded change in a period for the whole workbook: a CSV with one row per event for a spreadsheet, and a print-ready page that saves as a PDF with the workbook, the period, who generated it and when. Send it to the client, file it for the inspection, attach it to the invoice.
Who it is for
| Business | What the record answers |
|---|---|
| Dental and medical practices | Sterilisation and maintenance logs with photos and sign-off, ready for an inspection. |
| Cleaning and facility companies | Which rooms were done, by whom, when, with a photo, for the client's monthly report. |
| Maintenance and technicians | The instruction the technician followed and the proof they left, per site visit. |
| Accounting offices | Which filings were prepared, reviewed and signed off in the period, and how many came back. |
What it costs
Sign-off, supervised mode, the trail and the exports are in every plan, including Free. Photo proof needs file storage, which the Free plan includes only a little of; the Team plan carries 200 GB, an API with webhooks, and two-way Google Calendar sync. Everything is hosted in the EU. See the plans.
